The content of the course is as below: In the beginning of the class, it introduced several kinds of mistakes often seen in official documents. After that, the class told us the main point of writing an official document. The lecturer also informed us the principle of official documents. The lecturer told us the essence of document-writing skill. The lecturer also introduced some phraseology of official documents. The class also introduced some knowledge about official documents, for instance, the official seal and the time-limit.

The benefits of the class to me are as follows: I realized what mistakes in official documents are often criticized by public opinion, such as using peculiar words, leaving no room for senior officer, taking too long to dealing with a document. I would do my best to avoid those mistakes. I was aware that the client of official documents includes “inside”, and “outside”, we have to satisfy not only co-workers in the same unit, but also the object of the document. I was also aware that the point of an official document should be analyzing and solving the problem; do not write something not relative to the subject. I was acknowledged the meaning of the famous document-writing principle: “simple” means making the statement agency wants to declare with fewer sentences, “easy to realize” means simple word when writing a document, “clear” is close to sincere, such as avoid using sarcasm, and “accurate” means the content have to be accurate.

After this class, my attitude about writing an official document becomes more correct then before. First of all, efficient is important, I should avoid unnecessary “document journey”, and I ought to pay attention to the progress of the document I undertake, if the progress is procrastinated, I have to eliminate the whys and the wherefores as soon as possible. Moreover, I will use plain and simple language in place of peculiar words, especially when writing a document to citizen. I also become aware that official documents should be faithful to the truth, because I write official documents, not novels. I think being faithful to the truth could make readers believe the official documents are trustworthy. Besides, after the training, I become more empathetic to the addressee of official document, I would think about their feeling when reading the document I write.

After the class, I think the quality of my document have become better. Now I make my document as short as possible, because I realize if I could state the all I have to say with five sentences, I shouldn’t state it with eight sentences. I also write the document more explicitly, knowing that I should make the official document easy to understand, and my word should not be ambiguous, otherwise the readers might be confused, the readers even have a chance to misunderstand my meaning it I write a document indefinitely. Furthermore, now I am careful about the accuracy of the content of document, such as the exact position an activity going to take place. Thanks to the class too, I stay closer to the main subject when writing a document; before taking the class, I sometimes put unnecessary data into the document I write. Besides, I commit a little mistake, such erratum, wrong usage of official document terminology, and leaving no place for senior officers to sign, now I seldom did because of the class.

I learned plenty of knowledge and skills in this class. The lecturer told us several document-writing deficiency criticized by the media, therefore I know what kind of mistakes had been assailed by the public opinion. I am aware that I should avoid using words readers could not understand, and I should make documents short if I could, and the efficiency of document is important because procrastination might cause bad result. Moreover, the usage of official document terminology and official seal are with a lot of knowledge, the class gave an introduction about important parts about both. I also understand more clearly about the meaning of document folders’ color, it represents the urgency of that document. I learned some kind of inappropriate document. I will avoid committing those mistakes. I also learn to notice the arrangement of paragraph. I know to cut data not concerned with my subject from the document I write, so the document would be shorter.

This class not only does me good, it is good for the Tainan City Government and citizen too. When we become able to write official documents well, we will process our task better. For instance, if we write a document clearly, it would make the addressee easy to understand, both side could solve the problem sooner, not even having to call each other to clarify the meaning of the document. As a result, the government becomes more efficient because the class strengthen the document writing ability of junior civil servant. The citizen might get better service due to clearly official document save their time. Therefore, I think the class is good for so many people.
